Limits to check

• With a connected Google or Outlook calendar, the default auto-join rule is all calendar meetings that contain a web-conference link. It can be restricted or disabled, and recording rules can further control which calls are captured.
• The default recap-email setting is Everyone on the Invite, and the default meeting privacy is Teammates & Anyone with the Link. Anyone who receives a forwarded link can view under that setting. Review both defaults before sensitive meetings.
• The bot-free desktop app captures system audio across conferencing apps, phone calls, and in-person meetings, but it does not save audio or video files, assign named speaker labels, or support Sales Assist.
• Fireflies lists more than 100 transcription languages. Auto-Detect handles one dominant language; Multi-Language Mode is beta and supports more than 60 languages in one conversation.
• Fireflies' current public pages disagree on Free storage: pricing lists 400 minutes per team, the usage-limit guide lists 400 minutes per user, and the Free-plan guide lists 800 minutes per seat. Confirm the enforced allowance in an account. Pro lists 8,000 total minutes per seat; Business and Enterprise list unlimited storage.
• Fireflies' pricing page lists unlimited transcription and AI summaries on Free. Its transcription-credit guide instead says Free accounts start with 3, 5, or 10 transcription credits depending on signup surface, spend one per meeting for transcription and summary, and spend one for the summary after enabling Unlimited Free Transcription. A separate guide says that toggle requires Auto-join and Share-all and that summaries depend on credit balance. Fireflies' current pages do not reconcile these rules; confirm the exact Free workflow in an account.
• The AI-credit guide says ordinary transcription, note-taking, and recap emails are covered by the plan rather than its AI-credit pool. Current pricing and AI-credit guides list 20 included AI credits on Free and Pro, 30 on Business, and 50 on Enterprise as one-time, team-shared allowances. The older Free-plan guide instead says 20 credits per month, so the Free cadence is unresolved.
• After paid users exhaust included AI credits, Fireflies says the workspace automatically subscribes to the lowest paid AI-credit tier unless AI-credit auto-upgrades are paused. Free users see a paywall instead.
• On Free, Fireflies allows MP3, MP4, WAV, and M4A uploads up to 100 MB and 150 minutes and charges one transcription credit per file. Paid plans list unlimited transcription credits, while external-source uploads and imports have monthly source-based limits: 3,000 minutes per source for an individual, or 3,000 times the team size per source up to 150,000 minutes. Fireflies lists a $0.01-per-minute overage. Bot-captured live meetings, Chrome Google Meet capture, and mobile recordings are exempt from that rate limit.
• Transcript, summary, audio, and video downloads require Pro or higher. Transcript formats include PDF, DOCX, SRT, CSV, JSON, and Markdown; recordings are downloadable only when the selected capture method saved them.
• Consent behavior depends on the meeting platform. Fireflies documents opt-in prompts on some surfaces and opt-out controls on others, plus optional advance email and in-meeting notices. For desktop system-audio capture, its optional automatic chat consent message is documented only for Microsoft Teams Business accounts; other surfaces require a separate notice and consent process. Confirm the applicable requirements before recording.
• Fireflies says it does not use meeting content or personal data to train internal or external AI models and prohibits AI vendors from doing so; its policy update says Business and Enterprise customer data is processed under customer instructions and the DPA. Its vendor zero-retention promise is not a workspace-retention period. Automatic deletion with a one-week-to-one-year setting is documented only for Enterprise; the public pages do not state the default workspace-retention period for other plans.
