Copilot Business is currently $18 per user monthly when paid yearly for the first year (regularly $21; offer ends September 30, 2026), or $25.20 with a monthly commitment. A qualifying Microsoft 365 Business plan is required. Microsoft says there is no trial for Microsoft 365 Copilot. As one US bundle, Microsoft 365 Business Standard with Copilot is $23.50 per user monthly, paid yearly, and includes Teams. Eligible Microsoft 365 business and enterprise customers get web-grounded Copilot Chat and Copilot in Outlook at no additional cost. Some eligible accounts receive an M365 Copilot (Basic) label, which provides standard access in Word, Excel, PowerPoint, and OneNote without the paid add-on; confirm the assigned label and admin settings. The paid add-on provides priority access, full work-data reasoning across meetings, email, chats, and files, and advanced agents.

Limits to check

• A qualifying Microsoft 365 plan is required. App access without the paid add-on depends on the subscription, admin settings, and the user's Copilot label: M365 Copilot (Basic) provides standard access in Word, Excel, PowerPoint, and OneNote, while Copilot Chat (Basic) does not.
• Available context is shaped by your organization’s Microsoft 365 permissions and administrator settings.
• Microsoft says prompts, responses, and data accessed through Microsoft Graph are not used to train foundation models. Prompts and responses are stored as Copilot activity history under Microsoft 365 retention controls.
• When web search is enabled, Copilot sends Bing a short query generated from the prompt or an uploaded file; a very short prompt may be sent unchanged. Organizations can disable web search, and users can inspect the exact query and cited pages under Sources.
• Standard Researcher cannot limit Bing-backed web research to chosen sites. Its only website control is the organization-wide web search setting. A separate Frontier-only Researcher with Computer Use mode lets administrators allow only specified URLs or domains, or exclude specified URLs or domains; it requires a Microsoft 365 Copilot license and administrator enablement.
• Microsoft limits Researcher to 25 queries per user per month.
• In Word’s automatic summaries, Microsoft says Copilot considers the whole document but does not always provide citations to later document content.
• AI summaries require a transcript, and access follows meeting settings. Microsoft’s recap guidance says notifications, notes, and content are not currently available for ad-hoc events, while its Teams Premium licensing table lists intelligent meeting recap for instant meetings; Microsoft also describes instant meetings as impromptu. Confirm the exact meeting type and required license. Setting Copilot to Off for a meeting also turns off recording and transcription.
• Teams admins can assign organizers a policy that requires explicit participant agreement for recording and transcription. It is off by default; when enabled, participants cannot unmute, turn on video, or share until they agree, declining leaves them view-only, and consent choices appear in attendance reports or audit logs. Confirm legal and organizational requirements separately.
• By default, meeting organizers and co-organizers can download a transcript as DOCX or VTT; administrator policies can allow others. Only the meeting organizer can download the recording, which Microsoft identifies as an MP4 file.
