Limits to check

  • Enterprise Search is available only on Business and Enterprise plans. It searches the Notion workspace and connected apps; when an answer uses either, Notion says it always cites those sources. Users can limit a search to a specific source or turn off web search.
  • Notion’s pricing table shows limited Meeting Notes trials on Free and Plus, while its help page requires Business, Enterprise, or an eligible mobile subscription that includes Notion AI; confirm access in your workspace. AI Meeting Notes has a daily usage limit of 10 hours per user. Notion labels AI Meeting Notes beta and says it is subject to the beta terms of your agreement.
  • Notion says neither it nor its AI subprocessors use Customer Data to train models by default. Its LLM providers use zero data retention for Enterprise workspaces by default and retain Customer Data for 30 days or fewer on non-Enterprise plans by default; data-retaining features remain off unless an administrator enables them.
  • The desktop app can capture system audio and microphone input when the required permissions are granted. In a browser, Meeting Notes transcribes only microphone input, so it will not capture conferencing audio through headphones.
  • On mobile, Meeting Notes transcribes only audio the phone’s microphone picks up. It cannot capture other participants playing from the same phone; in-person meetings and call audio played aloud from another device avoid that constraint.
  • Meeting notes are private to their creator by default and inherit the page's permissions. Auto-sharing from Notion Calendar applies only to participants who belong to the workspace; other participants require manual sharing.
  • AI Meeting Notes transcribes English, Chinese, Spanish, French, German, Japanese, Korean, Portuguese, Russian, Thai, Vietnamese, Danish, Finnish, Norwegian, Dutch, and Swedish. Speaker labeling is available only in English.
  • Starting transcription confirms that every participant consented to recording and transcription. Notion provides text, spoken, and audio ways to request consent, but its automatic audio message is optional unless a workspace owner enforces it.
  • Notion says its AI subprocessors do not store meeting audio. Failed processing uploads may remain on Notion’s servers for up to three days; temporary local audio is normally deleted after successful processing or within 24 hours, but a failed mobile session can retain its local copy for up to one week. Optional storage of the 10 latest local recordings is off by default; when enabled, only the recorder can download them.
  • Enterprise workspace owners can schedule automatic transcript deletion. Summaries and notes remain, and pages under legal hold are excluded.
  • The strongest fit assumes the team already keeps its work in Notion.
