Start with Notion AI when the team's documents and knowledge already live in Notion. Its optional local audio storage is off by default, limited to the 10 latest recordings, and only the recorder can download them. Start with Otter when you want a separate, searchable transcript archive. Otter Basic exports transcripts only as TXT; paid plans add DOCX, PDF, and SRT, while audio exports as MP3. Bulk export requires Business or Enterprise.

Its browser and mobile apps only hear the device microphone, so calls through headphones can omit other participants. For existing recordings, Notion accepts AAC, M4A, MP3, and WAV audio but not MOV, MP4, or Loom uploads. Otter imports supported audio and video files up to 5 GB, subject to plan transcription and recording limits. Otter can also record without a meeting bot in its Mac or Windows desktop app, or automatically send its AI Notetaker. A creator can personally enable automatic sharing for notes created from Notion calendar entry points; it covers event participants who are members of the same workspace and gives them view and edit access. External participants still require manual sharing. For calendar-event recordings, Otter lets a user choose all event guests, same-domain guests, workspace members, or no automatic sharing, then assign Viewer or Collaborator access and decide whether collaborators may reshare. Notion says English-only speaker labeling is most reliable in its desktop app for virtual one-to-one meetings; labels may be unreliable in groups, with a shared microphone, or in browser and mobile use. Notion’s public Meeting Notes guide does not say whether transcript text can be corrected, so confirm that before choosing if cleanup matters. Notion says its meeting-note summaries include transcript citations that preview the referenced snippet and jump to the corresponding transcript line. Otter’s linked pages do not establish whether its summaries or action items offer equivalent passage-level links, so treat that as unknown. If that output decides the choice, import the same consented recording into both and check decisions, owners, and next steps against the transcript.

Failed-processing audio may remain on Notion’s servers for up to three days; a failed mobile session can keep a local copy for up to one week. Notion Enterprise workspace owners can schedule automatic transcript deletion; summaries and notes remain, and pages under legal hold are excluded. Otter may train its proprietary AI on de-identified audio and transcriptions that may contain personal information.
