Look elsewhere if: You need a listed unsupported device or meeting type, reliable no-link capture without resolving Fathom's conflicting Slack Huddles guidance, uploaded-recording analysis, bot-free capture without checking current device and language eligibility, or transcripts as downloadable files rather than clipboard copies.
Meeting notes and follow-up work should stay with the documents your team keeps in Notion.
Look elsewhere if: You need a standalone transcript archive, need ongoing Meeting Notes without a Business or Enterprise workspace or an eligible mobile subscription, or need to capture conference audio in a browser through headphones or from a call running on the same phone.
Free is $0 and lists unlimited recordings and transcriptions. Premium is $20 per user monthly or $16 per user monthly when billed annually. Team is $19 per user monthly or $15 per user monthly annually, with a two-user minimum. Business is $34 per user monthly or $25 per user monthly annually, also with a two-user minimum.
Core Notion AI features are included in Business at $20 per member per month when billed annually, or $24 per member with monthly billing; Free and Plus include limited AI trials. Notion plans apply at the workspace level, and upgrading charges for every workspace member. Custom Agents require Business or Enterprise and use a shared workspace pool of Notion credits. Monthly credits cost $10 per 1,000; annual credits cost $13 per 1,000. For in-product purchases, the available credit type follows the workspace’s subscription cycle, and unused credits do not carry over.

Start with Fathom when calls use standard Zoom, Google Meet, or Microsoft Teams links on a Mac or Windows computer. Its general device guide says calls without links are unsupported, while a newer guide says the new experience supports Slack Huddles; confirm that exception. Fathom's new bot-free experience is rolling out in phases for Mac users with English meetings, while Windows remains on the previous experience. In the new experience, Transcript Only saves no recording, Audio Only captures audio locally on the Mac without video, and Audio & Video uses a meeting bot. Start with Notion AI when the record should be captured directly in Notion: its desktop app captures system audio and microphone input, while its browser and mobile apps hear only the device microphone. Browser calls through headphones and calls playing on the same mobile device can omit other participants.
Choose Fathom when you want a standalone searchable call archive. Ask Fathom can search personal, team, or organization calls using titles, summaries, transcripts, and attendees, but Fathom says Ask history is not saved. Choose Notion AI when notes, transcripts, summaries, permissions, and follow-up should live as pages in an existing Notion workspace. Using both is also possible: Fathom's official integration page describes sending meeting notes, summaries, action items, and transcripts into a selected Notion page or database through Zapier or Make after a call is processed. This is a third-party automation workflow, not a native Notion capture mode; the company page does not establish delivery reliability or completeness, so test the exact automation before depending on it.
Which plan fits the people who need meeting notes?
Fathom Free lists unlimited recording, storage, and transcription in 38 languages, plus five advanced summaries each month; after that, the General/Enhanced template remains available. Free and Plus include a limited AI Meeting Notes trial, but Notion does not publish its quantity or duration. Ongoing workspace use requires Business or Enterprise; eligible mobile subscriptions that include Notion AI are a separate exception, but Notion does not identify those subscriptions on its public help page. A Notion Business upgrade applies to every workspace member, while Fathom's paid plans are priced per user. Use the price row above for current figures. Notion limits AI Meeting Notes to 10 hours per user daily and labels the feature beta. These plan terms do not establish output quality.
Do you need to import recordings or keep downloadable audio?
Fathom's upload guide says it does not accept external recordings. Its transcript guide says transcripts can be copied but not downloaded directly; its pricing page separately lists unlimited call downloads and clips. Notion can transcribe uploaded AAC, M4A, MP3, and WAV files, but its help page says MOV, MP4, and Loom uploads are unsupported. For live recordings, optional local storage of the 10 latest audio files is off by default and only the recorder can download them. An uploaded file is instead stored on Notion's servers until it or the containing page is deleted. Decide which artifact must remain portable before choosing either workflow.
How will you verify speakers, summaries, and action items?
Notion links summary citations to transcript passages. Its desktop app can label speakers in virtual one-to-one meetings; Notion says labels may be limited for shared microphones, group meetings, browser use, and mobile use, and speaker labeling is available only in English. The reviewed Fathom company pages do not establish equivalent passage-level summary citations. Neither company's pages establish which tool has better transcription, speaker labels, summaries, or action items. If quality decides the choice, run both on the same consented representative meeting and check names, domain terms, speaker attribution, decisions, owners, due dates, and omissions against the source recording and transcript. One meeting can reject a bad fit; it cannot prove universal accuracy.
Which consent, training, storage, and retention controls fit?
Both companies make the user responsible for required participant consent. Fathom's automatic consent emails do not cover every meeting, including same-day and impromptu calls; its new experience can post a recording notice or ask the user to confirm consent. Notion says starting transcription confirms that every participant consented and offers text, spoken, and audio notices, but its automatic audio message is optional unless a workspace owner enforces it. Fathom says all data is stored in the United States, its AI subprocessors cannot train on user data, and it uses de-identified customer data for its own models unless the user opts out; automatic retention requires Business and applies one policy to all team calls. Notion says neither it nor its AI subprocessors use customer data to train models by default. Its AI subprocessors do not store meeting audio; failed processing can leave temporary copies with Notion for up to three days, and Enterprise owners can schedule transcript deletion while summaries and notes remain. Confirm the exact plan settings and applicable consent requirements before recording.
